Here are a few things you probably did not know about SAP Business One
You probably are familiar with the key features and functionalities of SAP Business One, which make it an affordable, enterprise-ready and intelligent ERP that businesses see value in implementing. You may also be aware of the amazing benefits it offers like streamlined business processes, help in production, scheduling and sales activities and real-time reporting and analytics that help drive profitable growth.
But did you know that there are some amazing, not commonly known, specific task-based features that help you manage your business more efficiently and are highly appreciated by millions of SAP Business One users worldwide?
Here are a few things you probably did not know about SAP Business One:
1. Global Language Support
Global language support is one of the strongest features of SAP Business One. If you are a business that has operations in multiple countries, SAP Business One helps you to enter values, enter quotes, display and print respective documents in multiple languages based on your unique requirements. Once activated, this feature allows you to present field data in multiple languages.
2. Allocation of inventory
This feature allows you to tag inventory quickly to specific customers when it is enabled by batch or serial tagging. You can also see to whom the selected inventory is allocated and it will reflect the same in your inventory reports. This allows you better visibility into your inventory in one glance.
3. Leverage alternate items in an out-of-stock situation
When you run out of stock of any particular item, you can prompt a list of substitute items that your customers may consider for immediate purchase. This also helps you push alternate items that you may already have in stock while ensuring that your customers are serviced appropriately.
4. Manage Price Lists and Pricing Schema for Customers
Managed at the Business Partner level, this feature allows you to automatically calculate the correct price for your customers, depending on their business relationship with you, leveraging one price list and pricing schema, without having to calculate prices at the document level.
5. Handle Month-End Accruals for Goods Shipped but Not Yet Invoiced
When the inventory delivery and the AR invoice occur in different posting periods, by enabling the Shipped Goods Account, you can post the inventory delivery to the shipped goods account directly instead of the COGS account. This helps you to accurately represent the inventory delivery in the balance sheet instead of the profit and loss statement, and your monthly net profit will be automatically recorded. This also helps reduce the risk of incorrect financial statements as well as eliminate a manual process that takes up time during the month-end crunch.
6. Manage Employee Expense Reimbursements
SAP Business One allows you to set up custom, predefined expense types to ensure that when the company reimburses certain expense types, they are recorded properly and expense and payable accounts are accurate. You can specify the name, general ledger account, whether reimbursable from the company and apply a tax rate code. You can set it up in a manner that, when you select the employee in an AP invoice or AP credit memo, SAP Business One automatically brings up the Expense Type transaction window so that you do not need to search through pages of the general ledger account numbers.
7. Mobile Application and Assistant Bots
SAP Business One is available wherever you are. The SAP Business One app enables users such as finance professionals, sales managers and production managers to gain real-time accurate information about inventory, sales and production lines. You can also communicate with the software through social media channels such as WhatsApp, Facebook Messenger and get the information you need to make timely, informed decisions.
8. Dashboards
SAP Business One dashboards such as cash flow forecasting dashboard, sales analysis dashboard and purchase quotation dashboard allow you to filter data and see it the way you want and when you want it. This allows you to gain information instantly so that you can take prompt action.
9. Instant Messaging Application
This SAP Business One feature allows you to send a message to other users within your organisation, just like an instant messenger application. You can see the users, converse with them and share documents and other information easily.
10. Shortcut Functions
SAP Business One users can add shortcuts that allow them to conveniently access important functions and access a list of options. You can set shortcuts for prompt actions like a sales order or purchase order while reducing the number of clicks.
11. Alternative Keyboard Usage
SAP Business One has brilliant shortcuts like, Ctrl + P for printing the current document, Ctrl + Z for undoing options, Ctrl + X for cut option, Ctrl + Shift + U to view user-defined fields, Ctrl + right arrow to view the next document or record and Ctrl + J for displaying transaction journal and so on. This feature brings efficiency to data entry operations.
12. Enables you to change the sequence of items within sales quotation and BOMs
This feature enables users to change the order of items within sales quotations and BOMs by easily selecting the items they want to move around a list of raw materials, sub-components, parts and quantities and structure the list in an organised manner.
